Our premises are within the Purdy’s Wharf complex which provides amenities such as an on-site daycare and fitness centre. Our office is connected to the downtown pedway system and situated on Halifax’s beautiful waterfront providing easy access to ferry and bus transit hubs, banks, restaurants, and shopping.

The opportunity

Position Summary:

Reporting directly to the CEO, the Board Officer and Executive Assistant plays a pivotal role at the heart of the organization serving as a trusted partner in both executive operations and governance. This position goes beyond traditional administrative support, offering exposure to senior leadership, board dynamics, and strategic decision-making.

In this capacity, you will manage and coordinate a wide range of highly confidential and sensitive matters on behalf of the CEO, ensuring seamless day-to-day operations while enabling leadership to focus on organizational priorities. As Board Officer, you will act as a key liaison and recording secretary for multiple boards, including Nova Scotia Pension Services Corporation (NS Pension), Nova Scotia Teachers’ Pension Plan Trustee Inc. (TPPTI), and Public Service Superannuation Plan Trustee Inc. (PSSPTI).

This is a unique opportunity for a highly organized, discreet, and proactive professional to operate at the intersection of executive leadership and governance by bringing structure, judgment, and polish to a role that is essential to the organization’s success.

Key Responsibilities:

  • Board & Meeting Management
    Coordinates 40–45+ board and committee meetings annually, ensuring seamless planning, scheduling, and execution across multiple pension boards.
  • Agenda & Governance Management
    Develops board agendas, prepares and/or coordinates materials, ensuring directors receive clear, complete, and timely information to support effective decision-making.
  • Board Operations & Communication Flow
    Manages board portals, meeting documentation, and the flow of information between committees and boards, including preparing minutes and tracking action items.
  • Governance Excellence & Continuous Improvement
    Oversees policies, procedures, and governance frameworks, regularly reviewing and enhancing board processes, including onboarding and education initiatives.
  • Strategic Support & Stakeholder Coordination
    Works closely with Board Chairs, Committees, and the CEO on governance matters, board composition, special projects, and sensitive in-camera discussions.
  • Executive Support & Prioritization
    Provides high-level, confidential support to the CEO, managing complex scheduling, communications, and deliverables while ensuring priorities are executed efficiently.
  • Project & Operational Support
    Contributes to a range of Board and operational initiatives, while maintaining key processes and documentation to support continuity, training, and organizational effectiveness.

What you need to be successful:

  • Executive-level support experience – You have experience supporting senior executives at the CEO and Board level, with a proven ability to manage competing priorities, complex calendars, and high volumes of confidential information.
  • Strong governance and board exposure – You understand board operations, meeting protocols, and governance best practices, with experience preparing agendas, materials, minutes, and tracking follow-ups.
  • Exceptional organizational and prioritization skills – You bring structure to complexity, anticipate needs, and consistently deliver high-quality work under tight timelines and shifting priorities.
  • Discretion and sound judgment – You are trusted to handle sensitive information with professionalism, tact, and confidentiality, and know when to escalate or act independently.
  • Relationship management and communication – You build credibility quickly with senior stakeholders, including executives, board members, and external partners, and communicate clearly and professionally in both written and verbal formats.
  • Attention to detail and quality – You take pride in producing accurate, polished materials.
  • Proactive and solutions-oriented mindset – You anticipate challenges, identify opportunities to improve processes, and bring forward thoughtful recommendations.
  • Experience supporting complex projects – You are comfortable contributing to initiatives such as board recruitment, policy development, or organizational reviews, often involving multiple stakeholders and tight deadlines.
  • Technical proficiency – You are highly proficient with Microsoft Office (particularly Outlook, Word, PowerPoint), and comfortable working with board portals and document management systems.
