Executive Assistant

We are excited to partner alongside Micco Companies to expedite the search for an Executive Assistant. Reporting to the CFO, the Executive Assistant will support the CEO, CFO and other board members. Taking a proactive approach, the Executive Assistant will be able to identify and address the needs of the executive team, perform administrative duties and help ensure the various companies operate smoothly.

As the main point of contact between employees, clients and the public, you will coordinate meetings, minutes, provide briefing notes and background information in preparation for appointments and donation requests for the Palooka’s Charitable Foundation. Acting as the hub of the organization, you will coordinate daily calendars, agendas, make travel arrangements and prepare materials for distribution in preparation for Board Meetings. The Executive Assistant will manage multiple expense reports and review communication to the Executive team and prioritize items for attention for redistribution. Carrying out all clerical duties, you will manage the electronic and manual filing, supervise office inventory, manage vehicle and property leases and any other administrative activities as needed.

A qualified candidate will have two years post-secondary education with a minimum five years’ experience working at an executive administrative level. Strong time management capabilities are a must for someone in this role. Proficiency in another language is also considered an asset.  

With high business acumen, you always practice discretion and maintain confidentiality and have a high regard for quality.  You contribute to the success of those around you by suggesting alternate solutions and supporting executives. As a self motivated individual your adaptability allows you to change gears quickly and contribute to where you are needed. Understanding the personal preferences of the executives is valued as well as the ability to multi-task and thrive in a fast paced environment.
