Venor has partnered with the College of Physicians & Surgeons of Nova Scotia (CPSNS) for the recruitment of an Executive Assistant. (EA)

Working in accordance with the college’s mission, values and mandate the Executive Assistant (EA) will support both the Registrar & CEO and the Deputy Registrar, maintaining their work schedules and calendars, monitoring priorities to internal as well as external stakeholders including Government, Doctors Nova Scotia, and Dalhousie Faculty of Medicine.

The Executive Assistant will provide administrative support for day-to-day operations as well as acting as the backup providing administrative support to Executive, Council and Nominations committee meetings as per the annual meeting schedule. Ensuring all meeting material is available for internal and external meetings, the EA organizes travel arrangements, including reservations for FMRACs annual AGM for all attending staff. The Executive Assistant coordinates logistics of the Senior Leadership Team (SLT) programs as well as the annual operations calendar including annual communications session, staff appreciation events, holiday gatherings, long service awards and luncheons, etc.

Taking a logical approach to planning and problem solving, the EA plays an active role in improving member services, working to streamline processes, maximizing efficiency, and enhancing the College’s work environment. You work productively within a group to achieve common objectives while respecting and valuing the contribution of your colleagues.

Other possible responsibilities of the Executive Assistant include the coordination of abandoned medical records, front desk coverage if required, participation in continuous quality initiatives and other reasonable additional assignments as determined by the Deputy Registrar, Director of Finance & Administration, or SLT.

As the ideal candidate you have a Business or Paralegal diploma and/or undergraduate degree in Business Administration. You have five years relevant experience or an equivalent combination of education and experience. An intermediate level of understanding is required of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). You have a keen attention to detail, with the ability to work under pressure in a fast paced, ever-changing environment. You demonstrate a positive attitude, working ethically in business dealings and when handling confidential information.
