Venor is proud to partner with our client, Touchstone Legal, in their search for an Executive Assistant. Based in downtown Dartmouth, Touchstone Legal is a boutique law firm offering a range of legal services including Estate, Tax, and Trust Planning as well as Business and Corporate. 

Established in 2019, the team have since grown significantly in size in order to support the needs of their clientele. Drawing upon their years of experience and through team collaboration they deliver an exceptional service to their clients. 

As a key member of the team the Executive Assistant will work closely with both co-founders of the company. The Executive Assistant position is a fast paced and dynamic role, where no two days are the same. Some of the duties and responsibilities are listed below (but are not limited to)

Executive Assistant
• Working closely with the directors of Touchstone to assist them in their management of their practices and the firm.
• Responding to requests for information by Touchstone members, clients, accountants, and advisors.
• Create, edit, and compile large, complex, heavily formatted documents as well as prepare correspondence, memoranda, and other legal documents from draft utilizing MS Word. 
• Proofread documents for accuracy and completeness.
• Oversee calendaring and appointment coordination for Touchstone directors and, from time to time, certain other Touchstone lawyers.
• Assist with marketing efforts of directors (including coordinating business  development initiatives and holiday cards and gifts).

General Firm Administration
• Providing general administrative support to Touchstone members and enhance office effectiveness.
• Answer and direct phone calls.
• Maintain, create, and update contact lists.
• • Open new client matters, and request conflict of interest checks when appropriate.
• Conduct clerical duties, including filing, responding to emails, inputting information into Clio (our legal practice software), scanning, and preparing documents. 
• Review/edit/prepare and proofread prebills and invoices; assure client billing is sent out
accurately and timely.
• Support accounting processes upon request.
• Maintain knowledge of Firm operating procedures, departments, and support areas.
• Maintain knowledge of Microsoft Office, Clio, and Kofax. 

The selected candidate will have 3-5 years of experience within an Executive Assistant position, along with a solid understanding of Microsoft Office suite. You must be comfortable working in a fast-paced environment, independently managing your own tasks and deadlines. Whilst no legal experience is required, it is certainly an asset!
