Project Coordinator, Mechanical Estimating and Procurement

Venor is proud to partner with ACE Mechanical Limited to assist in their search for a Project Coordinator, Mechanical Estimating and Procurement. Founded in the late 1970s, ACE Mechanical Limited specializes in installing mechanical systems (including plumbing, heating, ventilation, and controls systems) in multi-unit buildings such as apartments, condominiums, and hotels. Our history showcases substantial involvement in noteworthy construction projects in Halifax, cultivating strong relationships with respected HRM developers. Complementing our services, EFP Engineering Limited, an associated company, provides mechanical and electrical consulting expertise.

The Project Coordinator, Mechanical Estimating and Procurement will report directly into the Senior Estimator and work closely with the project management team to support the administration of projects from initiation, through all phases of construction to close-out.


  • Provide continuous and immediate assistance to management, office staff, supervisors, field personnel, and clients.
  • Collaborate with the project team and external suppliers and subcontractors, as required.
  • Oversee the handling of shop drawings, liaising with vendors, wholesalers, and engineers to secure approved shop drawings and ensure timely equipment procurement.
  • Aid the Project Engineer in estimating by utilizing Quotesoft estimating software to generate material take-offs and labor allocations.
  • Supervise material schedules, returns, and transfers between projects.
  • Prepare and submit invoices for approval, and closely monitor any declined invoices and credits.
  • Participate in the creation of change orders, Requests for Information (RFIs), and Site Instructions.
  • Provide daily support to Site Foreperson by managing material orders and reviewing project documents.
  • Occasionally engage in construction site activities to assist foreperson with diverse tasks.
  • Contribute to the development of novel standards, templates, processes, and procedures.

Qualifications and Skills Required:

  • Completion of a two-year college program in mechanical engineering or drafting technologist, focusing on commercial and residential building design, or equivalent expertise from prior professional experience or education (e.g., engineering degree).
  • Between 1-3 years of previous Procurement or Estimating experience
  • Proficient use of Microsoft Office 365 software (including Project, Word, Excel, PowerPoint, and Outlook).
  • Exceptional written and verbal communication skills, ranging from very strong to excellent.
  • Thrives on meeting deadlines and maintains disciplined work habits, dedicated to supporting clients, management, and on-site personnel.
  • Familiarity with project software like Procore, Trimble, and SmartUse is advantageous.
  • Sound grasp of mechanical building systems and a genuine interest in expanding knowledge in this area.
  • Demonstrates good to excellent problem-solving and troubleshooting capabilities.
  • Strong attention to detail.
  • Highly organized, adept at multitasking, and skilled in time management.
  • Self-reliant in completing assignments with minimal supervision, while also adept at collaborating with others to navigate challenges.
  • Ability to provide and receive constructive feedback to enhance team efficiency and performance.
  • Willingness to work outside regular business hours as needed to meet project deadlines.
  • Possession of a valid driver’s license.
