Venor has partnered with the College of Physicians & Surgeons of Nova Scotia (CPSNS) for the recruitment of a Registration Agent.

As a Registration Agent, you’ll play a key role in supporting the integrity of medical regulation by assessing physician eligibility, processing licensure and registrations, and maintaining accurate regulatory records. Working closely with physicians, internal teams, and external stakeholders, this role combines detailed administrative work, sound judgment, and strong communication to ensure licensing standards are met while supporting the College’s mandate in the public interest.

What You’ll Do:

In this role, you will maintain current knowledge of licensure and certification standards and ensure all licensing decisions align with approved regulatory criteria. You will assess physician eligibility and process licensure applications, coordinating documentation, drafting licensing agreements, and supporting approvals for full, conditional, and educational licences. You will also manage the accuracy of the Medical Register by updating licence classifications, personal information, renewals, removals, and corporation permit data, while conducting credential reviews, validating documentation, identifying variances, completing secondary reviews, and preparing summaries for management review and decision-making.

You will serve as a key point of contact for physicians and stakeholders, responding to inquiries and providing clear guidance through email, phone, virtual, and in-person interactions. Your responsibilities will also include administering corporation permits, preparing and issuing Certificates of Professional Standing and Conduct, managing related follow-up with external regulatory bodies, and administering annual renewals for licences, education registrations, medical students, and corporation permits. In addition, you will support departmental policies, procedures, quality improvement initiatives, projects, front-desk coverage, and other administrative duties as required.

What You Bring:

You bring 5+ years of progressive experience in a regulatory, registration, licensing, or complex administrative environment, ideally within a professional, public-sector, or membership-based organization. You are a strong collaborator and communicator who builds effective working relationships, contributes positively in team settings, and represents the College professionally in all interactions. You demonstrate a high degree of professionalism and integrity, exercising sound judgment, discretion, and confidentiality while aligning your work with the College’s mission, values, and mandate.

You take a logical, detail-oriented, and solution-focused approach to your work, with the ability to prioritize effectively, manage competing deadlines, and deliver accurate, high-quality results through strong organization and time-management skills. You are adaptable and resilient, remaining positive and effective in a changing environment while managing pressure constructively. You are committed to continuous learning and professional development, support the College’s health and wellness initiatives, and bring intermediate technical proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), Windows, Adobe Acrobat, and Microsoft CRM systems.
