Venor is proud to partner with Iron Dog to assist in their search for a Service Dispatch. Born and bred in Atlantic Canada, Iron Dog has been providing superior mechanical systems services since 1971. From the most complex installations to late night emergency repairs, they pride themselves on rolling up their sleeves, getting their hands dirty and accomplishing the toughest jobs.
Reporting to the Service Division Manager, the Service Dispatch is responsible for handling incoming service calls from customers, and properly dispatching service employees to service job locations and processing service invoices.
What you’ll be doing
Dispatch & Scheduling:
- Receive incoming calls and create service appointments for customers.
- Schedule annual maintenance for residential/commercial properties with maintenance plans.
- Dispatch service calls, and handling technicians scheduling.
- Order safety equipment, such as man lifts & material lifts
- Invoicing & Quotes:
- Handle incoming invoices from suppliers, allocate charge accounts, and send to accounts payable for payment.
- Review incoming field work orders for follow up requirements
- Complete review of work orders and prepares them for Accounts Receivable.
- Prepare customer quotes
Administration:
- Process field staff payroll hours
- Maintain adequate internal documentations for technicians and office staff to perform their daily tasks; i.e., time sheets, quote forms, etc…
- Maintain safety records for technicians, apprentices, and internal staffing
- Follows all company policies and procedures, and legislative requirements as required to maintain a healthy and safe working environment.

- Superior interpersonal and communication skills to excel at customer service, internally and externally
- Ability to work as an integral part of a team and proven time management skills
- Demonstrate flexibility and adaptability to meet the ever-changing demands
- Extreme attention to detail and proven track record for accuracy is necessary
- Completion of post-secondary school in Office Administration with 1 to 3 years of relevant experience or equivalent combination of education and experience.
- Extensive knowledge in standard corporate software applications and applicable systems skills as required.
